Terms & Conditions & Cancellation Policies

Reservations & Acceptance

By booking a trip with Wander with Her, you confirm your acceptance of these Terms & Conditions and Cancellation Policies. Reservations must be made using your full legal name as it appears on your passport or government-issued ID.

Deposits & Payments

  • All deposits are non-refundable and non-transferable.
  • Transfers to another guest may be possible for a $150 fee.
  • Monthly payment plans are available. Automatic billing is offered unless you opt out.
  • Late payment fees: $100
  • Reinstatement fees: $250

Identification & Travel Documents

  • Passports must be valid for at least 6 months beyond travel dates.
  • Some countries require up to 6 full blank visa pages; please ensure you meet the destination’s entry requirements.
  • U.S. citizens should verify requirements with relevant consulates.
  • Non-U.S. citizens are responsible for independently verifying entry requirements. Wander With Her does not validate documentation for non-U.S. travelers.
  • You are responsible for ensuring all travel documents, including passport, visa, and vaccinations, are in order.
  • Reservations should be made as early as possible to lock in pricing. Prices and itineraries are subject to change without notice.
  • Hotels may be substituted with similar accommodations if necessary.

Roommate Policy

  • Double occupancy bookings require a roommate’s name at the time of booking.
  • If you do not have a roommate, select “Roommate Needed” during booking. We will attempt to match you, though availability is not guaranteed.
  • For trips allowing male participants, they must arrange their own roommate or purchase single occupancy. 
  • If one roommate cancels, the remaining traveler will be converted to single occupancy and must pay the rate difference.

COVID-19 & Health Waiver

  • COVID-19 and other health risks may impact travel. By booking, you acknowledge and accept these risks.
  • Changes in destination COVID policies do not qualify for cancellations.
  • Wander With Her is not liable for denied entry, quarantine requirements, or health-related disruptions.

Travel Insurance

  • Travel insurance is highly recommended for all travelers to protect their investment. Travelers opting not to purchase travel insurance must sign an acknowledgement that they are choosing not to purchase insurance. 
  • Insurance may cover:
    • Trip cancellation or interruption
    • Medical emergencies
    • Lost or delayed baggage
    • Travel disruptions
  • Wander With Her may provide names of insurance providers but does not recommend specific companies. Travelers are responsible for obtaining appropriate coverage for their needs.
  • Most travel insurance is secondary, requiring upfront payment with reimbursement upon return home from the trip.

Hotel Accommodations

  • Standard twin-bedded rooms with private facilities unless otherwise requested.
  • Bed types, air-conditioning, and room sizes may differ from U.S. standards.
  • Check-in is usually after 3:00 p.m.; check-out is typically between 10:00 a.m. and noon.
  • Hotels may be substituted with accommodations of equal standard; no refunds for differences in cost.

Pricing & Adjustments

  • Prices are per person, based on shared twin occupancy.
  • Prices exclude personal expenses, travel insurance, passport/visa fees, and certain taxes.
  • Prices may change due to airfare fluctuations or availability.
  • In case of human or system errors, Wander with Her reserves the right to re-invoice the correct price. Travelers may cancel with a full refund if they do not accept the price adjustment within five days of notification.

Late Payments & Reinstatement

  • Final payment is due by the date on your invoice (typically 90 days before departure).
  • Late fees apply one day after the due date.
  • Reinstatement requests must be made within 14 days of cancellation and incur a $250 fee if space is available.
  • Monthly payment plans must be maintained to keep reservations active. Account balances 60 days past due without communication may be canceled.

Cancellation Policy

  • All cancellations must be submitted in writing.
  • Travelers will receive a Cancellation Request Form to complete.
  • Unused services are non-refundable.

Travel Documents & Final Instructions

  • Sent at least 30 days before departure (full payment required).
  • Airline tickets included with packages are issued electronically ~7 days prior to departure and are non-refundable.
  • Travelers can access their accounts 24/7 via our client portal.

Name Changes

  • Incorrect name entries incur a $250 fee plus any supplier charges.
  • Airline name changes may require full cancellation and rebooking.
  • Replacing a traveler is considered a cancellation.

Group Harmony

  • Wander With Her reserves the right to remove any traveler whose behavior is disruptive or incompatible with the group. All related expenses are the traveler’s responsibility.

Photographic Release

  • By participating, you grant permission for photos and videos taken during the trip to be used for promotional purposes.

Accessibility

  • Tours may involve walking on uneven terrain and cobblestones.
  • International tours may not comply with U.S. ADA standards.
  • Service animals are not permitted on international tours.

Transfers

  • Arrival transfers, only if included in package, are guaranteed up to 2 hours after arrival.
  • Delays beyond 2 hours are the traveler’s responsibility.

Sightseeing & Itinerary

  • Itineraries may change due to weather, holidays, or unforeseen events.
  • Substitutions may occur; no refunds are issued for changes.
  • Optional activities are at the traveler’s discretion and are not endorsed.

Cruise Policy

  • Cruise ships and itineraries may change without notice.
  • Refund policies vary by cruise line.
  • Onboard medical services may be limited; travelers are responsible for all related costs.

Website Use Agreement

  • Your use of www.wanderwithhertravel.com constitutes acceptance of all terms, conditions, and notices outlined on the site.
  • This agreement between you (the customer) and Wander with Her is binding and non-negotiable.
  • Continued use of the website confirms your consent to these terms without modification.

Liability Disclaimer

  • While we strive to provide accurate content, information, products, and services on the website may occasionally contain errors, inaccuracies, or outdated content. Updates and modifications are made periodically without prior notice.
  • Wander with Her is not liable for any direct, indirect, incidental, punitive, special, or consequential damages arising from:
    • Use of the website
    • Reliance on information, products, or services obtained through the website
    • Any other interaction with the website or its content
